Rosters

How do I find my Roster confirmation number?

  1. Log in to the VGS website
  2. Go to My VGS -> My Rosters OR Players & Facilities -> Rosters -> My Rosters
  3. A roster confirmation number is listed next to each roster

How do I create a New Roster?

  1. Log in to the VGS website
  2. Go to Players & Facilities -> Rosters -> New/Reinstate Roster
  3. Select a league in which to enter a roster
  4. Click New
  5. Click Add Player to Search and Select players for this new team
  6. If you are not planning to pay any unpaid dues, you will need to remove those players and add them back before the end of the roster correction period
  7. Make sure you have at least the minimum number of paid players to enter your roster
  8. You must certify that you have permission from all players to put them on this team
  9. You will receive a warning if players you are entering on this roster are already on another roster
  10. Click Make Changes to be sent back to the previous screen to remove players, or Continue
  11. Make sure you have the correct captains or managers listed
  12. Add designees if you want others than the captains, managers and roster creator to be able to see the team tracking sheet and opposing team contact information on the schedule, and to make player adds
  13. Designees may be added and deleted as needed throughout the season
  14. The roster creator will automatically be included as a designee but can be removed from team managment, if appropriate, and remain in history as the one who submitted the roster
  15. Confirm that the facility is correct, or click Change Home Facility
  16. Only complete Request for Review if the team has special circumstances that will affect their level/flight placement
  17. Note warnings under 9: Error Check and click Previous to make changes or click Next to go to Payment
  18. All players must be paid in order to complete the new roster
  19. After being taken through 10 steps, you will receive confirmation of your new roster on Step 11
  20. Emails will be sent to your players confirming their addition to this roster and also sent to other captains if you have added a player they currently have on their roster in the same league
  21. A Roster Summary page will appear with your new Roster confirmation number
  22. Print a copy for your record

How do I locate a Roster?

  1. Log in to the VGS website
  2. Go to My VGS -> My Rosters OR Players & Facilities -> Rosters -> My Rosters
  3. Click Select for the roster you would like to view

How do I reinstate a Roster?

  1. Log in to the VGS website
  2. Go to Players & Facilities -> Rosters -> New/Reinstate Roster
  3. Select a league in which to enter a roster
  4. Click Reinstate  —  You will be taken to a screen showing rosters you are affiliated with to select one
  5. If you are not planning to pay any unpaid dues, then you will need to remove those players and add them back before the end of the roster correction period

How do I change a roster (captain, co-captain, facility, etc.)?

  1. Changes to a roster may only be made during roster entry including the 5 day corrections period following the roster entry deadline
  2. You must have the appropriate permissions in the site to change a roster
  3. Roster creators, captains, co-captains, managers, co-managers and designees are able to make these changes
  4. Log in to the VGS website
  5. Go to My VGS -> My Rosters OR Players & Facilities -> Rosters -> My Rosters
  6. Click Select by the roster you would like to change
  7. If you have sufficient rights to change the roster, the fields will be editable
  8. Make the desired changes
  9. Click Save to keep your roster changes

How do I add a member to a roster after the captain's meeting?

  1. Log in to the VGS website
  2. Go to My VGS -> My Rosters OR Players & Facilities -> Rosters -> My Rosters
  3. Click Select by the roster that you wish to add a member to
  4. Enter the member’s VGS number, click Add-On and then Save
  5. OR click Search to search by other parameters than the member’s VGS number
  6. Click Select when you find the person you want to add
  7. Click Save to keep your roster changes

How do I get removed from a roster during roster entry?

  1. Removal can only be done during roster entry including the corrections period that lasts 5 days after the roster entry deadline
  2. Each time you are added to a roster you will receive an email which provides the contact number and email address of your captain or manager
  3. Please contact your captain or manager to remove you from the roster

How do I get removed from a roster during the season -

Adult Rules I. G. 4. – No player may be removed from a roster after the roster correction deadline, regardless of how they came to be on that roster

How do I get removed from a roster post season -

  1. At the end of the season, within 30 days from the last scheduled match, if you have not played or been listed on a scorecard to accept a default, you can ask that the roster be removed from your history
  2. Log in to the VGS website
  3. Go to Players & Facilities -> Rosters -> Post Season Deletion
  4. Make your request to be removed
  5. If the team received bag tags, magnets or plates; the player must return his or her awards to the VGS office before the player is removed from the roster

What do I do if I am listed on multiple rosters -

  1. You will receive a letter from VGS confirming that you are on more than one roster
  2. You will be asked to return the form stating the roster from which you want to be deleted as well as the name and VGS number of that team’s captain
  3. If you have questions, contact the VGS office.

Personal Profile

How do I purchase/renew a membership? -

  1. If you are a potential new member, please follow the prompts on this page.
  2. If you are renewing membership(s), please log in and use the menu to go to Players & Facilities -> Members ->Renew My Membership, or Renew Membership(s).
  3. Follow the directions to find and pay for membership(s)
  4. If you do not remember your username or password, follow the link above, click Renew Membership and follow the prompts for either Forgot Username or Forgot Password
  5. When you first join VGS, you are assigned a member number
  6. Your original member number is the only member number that should be renewed for you to contain all of your VGS history
  7. It’s against the VGS rules to utilized more than one member number per member
  8. Once a membership is purchased or renewed, it is nonrefundable

How do I update or change my personal information -

  1. Log in to the VGS website
  2. Under the menu, choose My VGS -> My Profile
  3. Click Profile Details
  4. Make changes as desired
  5. Click Save

How do I locate my VGS number -

  1. Log in to the VGS website
  2. Under the menu, choose My VGS -> My Profile
  3. Look under the text My Profile and your VGS number should be displayed after your name

League Play

What are the age requirements for a specific league -

  1. No one under 18 years of age may be placed on a roster in any Adult League
  2. To be placed on a Senior League roster, a player must be at least 45 years of age within the calendar year
  3. To be placed on a Senior Day League roster, a player must be at least 55 years of age within the calendar year
  4. To be placed on a Junior League roster, the player must be at least 7 years of age and no older than 18 years of age within the calendar year
  5. For more information about how Junior Leagues are set up please refer to the Junior Boys League page or the Junior Girls League page.

Where do I find my schedule -

  1. Go to My VGS -> My Schedules and Select the schedule you would like to view.
  2. OR go to Players & Facilities -> Rosters -> My Rosters and click Schedule for the roster you would like to view.
  3. If there is a schedule available, you will be taken to it

Where do I find my tracking sheet -

  1. You must be a captain, co-captain, roster creator or designee to access tracking sheets
  2. Log in to the VGS website
  3. Go to My VGS -> My Rosters OR Players & Facilities -> Rosters -> My Rosters
  4. Click Tracking Sheet for the roster you would like to view
  5. The tracking sheet is available when the schedules are posted

Where is the Playoff draw located -

  1. Go to Leagues & Tournaments -> Playoffs
  2. Once there, you can search for the Playoff draw you are interested in and select it if it exists

Where do I find Division Standings -

  1. There are many ways to find the division standings
  2. If you are a public user of the site, you can find the weekly division standings under Players & Facilities -> Division Standings
  3. From there you can search for the specific standings you would like to view
  4. If you are a member of VGS, you can view your division standings for a current roster under My VGS -> My Standings or a past roster under My VGS -> My Rosters and click Standings for the standings you would like to view
  5. OR Players & Facilities -> Rosters -> My Rosters (current and past rosters) and click Standings for the Roster that has the standings you wish to view

Who is my coordinator and where do I find that information -

  1. After your schedule is determined, your coordinator will be assigned
  2. As a player, you should contact your captain with any issues
  3. Your captain should be the one to contact the coordinator with any issues
  4. Coordinator contact information is available on the schedules for team leaders including the captain, co-captain, manager, co-manager and designees
  5. In order to view your schedules you must log in to the VGS website
  6. Go to My VGS -> My Schedules and select the current schedule you wish to view
  7. OR Players & Facilities -> Rosters -> My Rosters and click Schedule next to the roster you wish to view

Is it possible to play in multiple adult leagues during the same season -

  1. Yes.
  2. Winter: Mixed Doubles and Senior Mixed Leagues
  3. Spring and Fall:  Men and Senior Day Men, Sunday or Thursday Women and Senior Day Women
  4. Summer:  Mixed Doubles and Senior Men/Women

Scorecards

Where do I find a scorecard -

  1. Finding a scorecard requires membership in VGS and being connected to a specific team
  2. Log in to the VGS website
  3. Go to My VGS-> My Scorecards for a list of current league scorecards
  4. OR, for a list of scorecards and the links to them for past or current rosters, go to My VGS-> My Rosters OR Players & Facilities-> Rosters-> My Rosters and click Schedule to the left of the selected Roster
  5. To print a blank scorecard from the Schedule, go half way down the page above the match dates on the left and click Print Blank Scorecard
  6. You can also print the scorecard entry screen for a specific match by clicking on your match link, i.e., Team 7 vs Team 5 and using the drop boxes to fill in your lineup
  7. Don’t forget to sign cards at the end of the match

Who submits match scorecards -

  1. Adult League – members of adult teams – players, captains or co-captains, roster creators or designees
  2. Junior League – team managers or co-managers, roster creators or designees
  3. Office staff
  4. League VPs
  5. Coordinators
  6. First VP
  7. Overall Coordinators

What happens if no scorecard is submitted -

  1. After 24 hours, both captains get a reminder
  2. If scorecard has been entered but not approved, the approving side gets a reminder
  3. After 48 hours, if the scorecard is entered but not approved, it is auto-approved and coordinator is notified
  4. After 48 hours, if the scorecard is still missing, the coordinator is notified

Is it necessary to verify a scorecard -

Yes

How do I dispute a scorecard -

  1. In order for a scorecard to be disputed or approved it must have been submitted by the opposing team
  2. You must also be either a member of the team that played, an office staff member, a league vp, coordinator, or overall coordinator
  3. Once you reach the scorecard you would like to dispute or approve, the scorecard will be shown as read-only except for a section to enter reviewer comments and a section to approve or dispute
  4. You may then save your selection

Can I change a scorecard -

  1. The original scorecard cannot be changed after it is saved
  2. Coordinators need to be notified of mistaken scorecard entries within 10 days of the match in question
  3. Coordinators can adjust the tracking sheet scorecard after verifying the issue(s)
  4. A modified scorecard will be shown first when viewing the scorecard for that particular match

Player Information

How do I find a player's history -

  1. Log in to the VGS website
  2. Go to Players and Facilities ->Members ->Search
  3. Identify the player you are looking for
  4. Select Play History to the left of their name

What is the difference between Assigned Level/Flight and Final Level/Flight -

  1. Your roster’s assigned level/flight is where the team is placed at the beginning of the season
  2. The final level/flight is given to the roster based on their performance during the season
  3. Each team member carries this team rating forward
  4. VGS does not give players individual ratings

How can I change to another facility -

  1. During the roster registration and corrections period, you can change your facility
  2. Log in to the VGS website
  3. Go to My VGS-> My Rosters OR Players & Facilities -> Rosters -> My Rosters.
  4. Click Select for the roster you wish to change
  5. Click Select next to the current Facility to pick a new one

How do I find a team on which to play -

  1. To find a team on which to play, simply select the menu, Players & Facilities -> Players & Teams -> Teams Looking for Players
  2. From there you can do a search for teams that are looking for players
  3. It will allow you a secure way to contact the captain or manager of the team which you are interested in

How do I find a member's VGS number -

  1. In order to view a member’s VGS number you must be an VGS member and must be logged in
  2. Once you are logged in you may search for the member by going to Players & Facilities -> Members -> Search
  3. Once there, you will be allowed several query options to retrieve the desired member record. One of the columns returned will be the VGS number

Facilities

How do I get a facility approved -

  1. Under the menu, choose Players & Facilities -> Facilities -> Request New Facility
  2. Read the Application Criteria
  3. Fill in all required and known fields. Errors will appear for required fields left empty
  4. Click Submit
  5. When you are finished, you will be shown a confirmation screen for your request

Does VGS carry General Liability Insurance?

No.  VGS does not carry General Liability insurance coverage for its members.  There are nearly 1,000 VGS-approved facilities at which league matches are played, and it is the responsibility of each of those facilities to carry General Liability insurance for people who play Golf on their courts.
